VSOA Proximus
VSOA Proximus, a key player in union representation, needed a modern, flexible document storage solution. Their existing NAS setup was limiting their ability to efficiently share and manage files within their team. They wanted a secure, web-based vault with role-based access, detailed logging, and a critical feature: documents (especially PDFs) should be viewable but not downloadable unless permitted.
Enhancing Security & Flexibility
Their previous storage system lacked the flexibility to manage access rights per district and tag, making file-sharing inefficient. Security was also a major concern—ensuring sensitive documents weren’t exposed to third-party services. Additionally, they required a logging system for tracking user actions within the vault.
Developing a Custom Vault Solution
To meet these needs, we developed a custom web-based vault using the Laravel Framework with a Filament admin layer. And provided key features:
We implemented encrypted S3 buckets to keep files secure.
Admins can define access levels based on district and tag-based permissions.
To prevent external dependencies like Google Docs or Microsoft Word Viewer, we built an in-house PDF viewer that ensures files never leave the secure environment.
Using Filament, we designed an intuitive folder system, mirroring familiar file explorers like Windows Explorer or Mac Finder.
Every user action is recorded, providing full transparency for admins.
Improved Accessibility & Security
The project was completed, covering briefing, development, implementation, and additional feature requests. The new system dramatically improved document accessibility and security while maintaining ease of use for admins and team members. We are now gathering feedback from VSOA Proximus to further refine the platform and ensure it exceeds their expectations.
